Picture The Scene -

  •   You're about to close that big deal that you have been trying to land for the last 3 months, Your client calls and ask for the numbers one more time.  You know you have him all you need do is open that spreadsheet and get the information he's requesting and it's off to cash the big commission check !

How do I backup my Data?

There are many ways t backup data.  Lets list the a few out and talk about them

Tape Backups - I know you business people remember this one! 

(I'm not a large fan of tape drives, they had their time no question. The problem is they are slow and many many time when I went to retrieve a clients data we found that the tape was years old and has not be changed in years,  they tend to break just when you need them the most.  They also tend to give you fits if you don't clean the backup drive every few months.   In their day they were simply the best choice.  That day has passed!

 

Flash Drives -  That neat Little USB devise that helps us move files around

I can't stress this enough! Flash Drives are BAD data backup choices!

Flash drives are great for moving your data from home to office!  I have no clue how we have lived without them for so long!  But remember That "Your Data is Your Life!"   Run a search on Google for "help flash drive broke"  you are going to find many people that were not worried about there data because it was safe on there Flash drive.   (Then it was gone)  I go through 5 flash drives a year easy!  I use them to move files, save a clients data in a 911 and to take work back and forth from office to work.   But you will never catch me using one without having a safe copy of that data backed up.

 

CD\RW OR DVD\RW - Burn a data CD or DVD

In many cases this is a good way for the home user to save there data.  DVD's can hold lots of data, music, movies and so on.   The problem I have with this method is not the equipment! It's the average user.  Come on now you and I both know that you're going to forget to change the DVD or to put a DVD in the drive.  Your going to use it a few times and forget to run the backup program.    If you are the type that simply will not forget to run that backup.  I think this way will work for you. If you're like me and you know that sooner or later your going to get "backup lazy"  it may not be the right way to save your data.

 

External Hard Drives - Ding Ding Ding we have a winner!

We started to move almost all of our clients over to external Hard drives about a year ago.  The price has dropped! They can be set to automatically backup (using even MS backup) so I don't have to spend a ton on backup software.  There are no tapes or DVD's to replace.   One flaw  what if it breaks!    We get by this by using 2 external hard drives per location!  We simply put one in place and put the other one in the clients fire safe (or have them take it home) and then once a week they swap the 2 drives.  We're safe against just about anything.  Even If the server is stolen  we can replace the server and use that extra (offsite) drive to restore the data.  Were protected against fire, and drive breakdown.   Even buying 2 drives  the cost is much cheaper than using a tape drive and tapes.   One thing! I recommend Seagate external drives!  They have a great warranty!  A nice choice for for home users and small business.  However remember you need to swap the drives once a week.  If you think that this is something your going to stay on top of your in great shape. If not keep reading.

 

Remote Backup - Sending your files over the internet to be stored on a server someplace else

Many companies and even home users are turning to remote backup to keep there data safe!  Is it safe?  Do you know where it is going?  who has access to it?  will it be there when you need it?  I don't mean to sound down about remote backup.  If you can answer all of the above questions it is a great way to backup your data.  even share it from one location to another. However I tend to like to be able to lay my hands on something.  Not only do I want to backup my data.  I want to hold that backup in my hands.   My biggest fear with remote backup is simply this.  There are so many people hosting remote backup sites how do I know I can trust 90% of them?  What if they sell my client list on E-Bay?
